Kinore, recently underwent a rebranding from our former name, Accountant Online. One of the key technical milestones in our transformation was renaming our SharePoint and OneDrive URLs to reflect our new brand identity. This process was more than just a technical task; it was a strategic move to align our digital workspace with our new brand and ensure continuity and clarity for our internal teams.
The importance of strategic planning
The first step in our URL renaming journey was meticulous planning. We knew that changing the URLs of core platforms like SharePoint and OneDrive could have far-reaching impacts if not handled correctly. Therefore, we initiated the project with a detailed plan that outlined every step, from initial assessments to post-implementation monitoring.
Our planning phase included:
- Identifying dependencies: We conducted a thorough audit of all systems, processes, and applications that relied on our SharePoint and OneDrive URLs. This allowed us to identify any potential dependencies and mitigate risks.
- Timeline and resource allocation: We developed a realistic timeline, ensuring that all necessary resources, including personnel and technical tools, were in place. We used MS Project to outline a plan for the change. We performed the update over the weekend, to mitigate risks to our delivery teams.
- Stakeholder communication: Clear communication with stakeholders was key. We made sure that everyone was aware of the changes and understood the reasons behind them.
Leveraging a Microsoft 365 demo environment for testing
A crucial aspect of our success was the emphasis we placed on testing. Before implementing the changes across the organisation, we utilised a demo environment that mirrored our live environment relatively closely. Microsoft allows you to provision demo tenants here: https://cdx.transform.microsoft.com/. This allowed us to:
- Verify functionality: We tested the impact of the URL change on all systems to ensure that there were no disruptions to daily operations.
- Validate access: We made sure that all users could seamlessly access their data and resources through the new URLs.
- Identify potential issues: Any potential issues were identified and resolved in the testing phase, long before they could affect our users.
By testing, we were able to confidently move forward, knowing that our SharePoint and OneDrive environments would function smoothly post-change.
Change management: ensuring a smooth transition
Equally important to our technical preparation was the change management and communication strategy we implemented for our internal users. Change, even when positive, can be disruptive. To minimize any potential disruption, we focused on:
- User advisories: We provided our teams with clear, concise notices on the new URLs, ensuring that they knew how to access their data and resources without confusion.
- Support systems: We put in place robust support mechanisms, including dedicated virtual helpdesks and quick reference guides, to assist users in case they encountered any issues.
- Addressing document storage: We also took this as an opportunity to clarify when SharePoint should be leveraged over OneDrive for storage.
The outcome: a seamless transition
I’m proud to say that the transition was smooth, with no significant issues reported. Thanks to the comprehensive planning, rigorous testing, and effective change management strategies we implemented, our users experienced minimal disruption, and our digital workspace now proudly reflects the Kinore brand.
This experience has reinforced the importance of thorough preparation and strong communication when undertaking significant technical changes. As we continue to evolve as Kinore, I’m confident that the lessons we’ve learned through this process will serve us well in future projects.
If your organisation is considering a similar rebranding or URL change, I encourage you to prioritise planning, testing, and change management. With the right approach, even the most complex technical transitions can be accomplished smoothly and successfully.
