Xero Conversion & Training

Kinore manages the full Xero migration for Irish businesses, from data extraction and system setup to custom integrations, team training, and post-go-live support. Whether you’re converting from Sage, QuickBooks, BrightBooks, or spreadsheets, our dedicated project team handles every step so your operations keep running.

If your finance team spends more time wrestling with software than analysing the numbers, the problem isn’t your people. It’s the system they’re stuck in.
Manual reconciliations. Data punched into two or three places. Reports that arrive weeks after the decisions needed to be made. Disconnected tools that were never designed to talk to each other. And somewhere in the middle of it all, a financial controller buried in Excel when they should be advising the business.

Is It Time to Make the Move?

You already know something needs to change. Maybe you’ve been putting it off because the idea of migrating your entire accounting system sounds like a project your team simply can’t absorb right now. That’s fair. But here’s the thing: Kinore has moved hundreds of businesses through this exact transition, from legacy desktop software to a fully configured, cloud-based Xero environment. We do not hand you a login and wish you luck. We run the project from start to finish, with a dedicated team, a proven methodology, and proper post-go-live support built in from day one.

The businesses that work with us don’t just get new software. They get a finance function that finally works the way it should: real-time visibility, automated workflows, proper integrations, and reporting that lands when it’s actually useful.

Most businesses don’t switch accounting systems on a whim. They switch because the friction has become impossible to ignore. If any of these sound familiar, you’re probably overdue.

What's Included

  • Your management team can't access up-to-date financials without chasing someone for a spreadsheet.

  • Monthly reports arrive in the third or fourth week, long after any meaningful action could have been taken.

  • Your current software (Sage, QuickBooks, BrightBooks, or something older) doesn't integrate with the tools your team uses every day.

  • Bank reconciliation is manual, repetitive, and error-prone.

  • You're maintaining duplicate records across systems because nothing connects properly.

  • A single person holds all the knowledge of how the finance system works, and that's a risk you can feel but haven't addressed.

  • You want to modernise, but you genuinely don't know where to start or who you can trust to get it right.

None of these problems get smaller with time. They compound. And the longer a business runs on disconnected, manual systems, the harder (and more expensive) the eventual move becomes.

What Kinore Brings to Your Xero Migration

This is not a side service for us. Xero migration and digital transformation sit at the heart of what Kinore does, and it shows in the team, the track record, and the recognition.

Kinore has been named Xero Ireland Partner of the Year for five consecutive years, from 2021 through to 2025. That kind of consistency doesn’t happen by accident. It reflects hundreds of successful migrations, deep platform expertise, and a structured approach that has been refined over years of doing this work across businesses of every size and sector.

We have a dedicated Head of Digital Transformation and CTO on the team, Richard Williams. Richard isn’t bolted on. He leads the migration methodology, oversees custom integrations, and ensures that every project is delivered to the same standard.

Kinore was also shortlisted in the 2025 Digital Transformation & AI Awards across three categories, including Best Digital Transformation in Financial & Professional Services.

What this means for you is straightforward: you’re not handing your migration to someone who does this occasionally. You’re working with a firm that has built its reputation on it.

Behind every migration is a senior-led project team. A preparer handles the detailed work. A senior reviewer checks every configuration. And a dedicated account manager keeps you informed throughout. That three-person structure, backed by ISO 9001 certification, is the reason problems get caught before they reach your live environment, not after.

Our Project Methodology

  • Phase 1: Discovery and Scoping

We start by understanding your current setup in detail: which software you’re using, how your chart of accounts is structured, what integrations you rely on, and where the pain points sit. This is also where we agree on the conversion date, the point from which Xero becomes your live accounting record.

  • Phase 2: Data Extraction and Preparation

We extract your records from the existing system, including balances, invoices, contacts, and transaction history. Crucially, we clean and prepare that data before it goes anywhere near Xero. Problems that exist in your old system don’t need to follow you into the cloud.

  • Phase 3: Custom Configuration

A generic Xero setup won’t serve you well. We configure your chart of accounts, VAT rates, bank feeds, reporting structure, invoice templates, payment terms, and user permissions so the system reflects the way your business actually operates. Tracking categories and reporting templates are designed so that from day one, Xero delivers the business insights you need, not just a place to store transactions.

  • Phase 4: Integration Setup

If your business uses platforms like Shopify, WooCommerce, HubSpot, or industry-specific tools, we build and test those integrations before go-live. The aim is a connected ecosystem, not another standalone system.

  • Phase 5: Go-Live and Verification

We run the final migration, verify that everything reconciles, and confirm the system is working as expected. Your team doesn’t touch the live environment until we’re confident it’s right.

  • Phase 6: Training and Handover

Once the system is live, we train your team on everything they need to handle day-to-day: bank reconciliation, invoicing, expense tracking, VAT, and reporting. Training is practical and hands-on, not a generic walkthrough of features your team will never use.

System Integrations We Support

One of the biggest advantages of Xero is its ecosystem. With over 1,000 apps in the Xero App Store, the platform connects with tools across ecommerce, CRM, job management, payments, and more.

But an integration is only as good as the setup behind it. Kinore builds, configures, and tests integrations so that data flows correctly between systems from the day you go live. We’ve delivered custom integrations for businesses using:

If your business relies on software that needs to talk to your accounts, tell us about it during the scoping call. Chances are, we’ve connected it before or we can build what’s needed.

  • Shopify and WooCommerce

for ecommerce sales, inventory, and payment reconciliation.

  • HubSpot

or CRM-to-accounting data flow, keeping customer records and invoicing aligned.

  • SimPro and ServiceM8

for trades and field service businesses that need job costing, quoting, and invoicing linked to their accounts.

  • Medbase

for healthcare practices managing clinical and financial workflows.

  • Service Master

and other industry-specific platforms where off-the-shelf connectors don’t quite fit.

Meet Your Xero Conversion Team

Training and Post-Go-Live Support

Here’s where many migration projects fall apart. The software gets set up, the data gets moved, and then the business is left to figure it out alone. That’s not how we work.

Training is built into every Kinore migration, not offered as an optional add-on. We provide one-on-one sessions for finance teams and directors, covering the specific tasks each person needs to handle. Your bookkeeper’s training looks different from your financial controller’s, because their roles in Xero are different.

Sessions are practical. We walk through real scenarios using your data: reconciling your bank account, generating the reports your management team needs, processing supplier invoices, running VAT returns. By the end, your team should feel confident handling their daily tasks without referring back to us for every question.

And when questions do come up (they always do in the first few weeks), our support team is here. Post-go-live support is part of the service, not an afterthought. You won’t be redirected to a generic helpdesk. You’ll speak to the same people who built your system.

Let’s Scope Your Migration

A 30-minute call is all it takes to understand the size of the project and what’s involved. We’ll walk through your current setup, discuss your integration requirements, and give you a clear picture of timelines and next steps.

No pressure. No jargon. Just a practical conversation about how to get your finance function where it needs to be.

Frequently Asked Questions

How long does a typical Xero migration take?

Most migrations are completed within two to four weeks, depending on the complexity of the existing setup and the number of integrations required. We agree a timeline during the scoping call and build in contingency so your go-live date is realistic, not aspirational.

Will there be any disruption to our day-to-day operations?

That’s the concern we hear most often, and it’s exactly what our methodology is designed to prevent. We do the heavy lifting in the background. Your team continues working in the old system right up until the agreed conversion date, at which point Xero is ready to go. There’s no awkward gap where nobody knows which system to use.

What does the migration cost?

Cost depends on the scope: the size of your data set, the number of integrations, and the level of training required. We provide a clear quote after the scoping call, so you know what you’re committing to before anything starts. No hidden fees, no surprises halfway through.

Can you migrate from Sage, QuickBooks, or BrightBooks?

Yes. We regularly convert businesses from all three platforms, as well as from KashFlow, spreadsheet-based systems, and other legacy tools. If you’re unsure whether your current platform is supported, just ask during the scoping call.

Do you provide ongoing Xero support after the migration?

Absolutely. Many of our clients combine their Xero migration with ongoing bookkeeping, payroll, or tax compliance services. Starting with a conversion is often how businesses discover just how much easier things get when Kinore handles their finances. But even if you only need the migration itself, our post-go-live support ensures you’re never left without help when you need it.
